eData Catcher Specifications

SYSTEM DESCRIPTION:

A paperless system (portable hardware and customizable software) designed to replace the use of paper forms and allow for limitless customization of business management solutions to be configured. The system allows data collection at the exact moment of performance or event happening to increase compliance, safety & quality control.

The system allows mobile and field staff to remotely and in real-time capture critical data (i.e. date, time, time (hour, minutes, seconds; who/person/ID; item/asset/vehicle name, model, number; location/address; 9,999 tasks/events, etc.) by touching a portable electronic data collector to an pre-programmed water proof and heat resistant eData Chip encased in a steel can.

The system does not require handwriting, typing, faxing, scanning, training or maintenance to electronically collect pre-programmed information. The eData Catcher does not allow for document alteration and can be password protected. The system tracks changes made by authorized personnel. The system is comprised of Customizable Software Solution, Download Cradle, eData Incident Code Booklet, eData Collector, eData Chips or plastic FOBS with Identification eData Chip, available accessories such as various types of mounts (i.e. plastic, metal).

The system’s hardware and handheld portable devices are robust (water proof and heat resistant), require minimal training and maintenance to increase productivity, data and records management. The eData Catcher offers the following features and capabilities:

  • Validates frequency to increase accuracy of inspections
  • Allows re-programming of eData Chips, at any time
  • Easily sorts, correlates and generates customized reports to allow for proactive management
  • Electronically collects, at the point-of-origin data that easily exports into Excel, PDF and Microsoft Word formats for easy and immediate sharing by email, fax, saving in folders, or integrating into other legacy systems for generating other reports
  • Allows easy process variation and eliminates labor redundancies
  • Improves workflow processes and accountability
  • Avoids errors, omissions, delays, lose of data from manual data entry
  • Software is SQL database and Microsoft .NET, Windows 7 Base, Windows XP, and visual basic (visual studio 2010), requires 2 GB of data and can store more information without limit through the SAVE function.
  • eData Catcher V has two (2) security access levels; each level has its own password:

1.) Administrator shall have access to the entire program

2.) Guest shall be able to make Downloads and Reports but will not have access to the “Assignments” Tab.

SOFTWARE – EDATA CATCHER V SYSTEM:

Written in English, Spanish and Portuguese.

Database Manager Functions:

Copy: Creates a copy of all information contained in the databases. The Backup function automatically compresses all active databases, copies them to the location you choose and assigns a name to the created file. Note: Every time a Recorder is downloaded an automatic backup will be made and sent to a designated folder.

Load: Permits the retrieval of archived data. This stored data can only be managed by the system itself; it is protected by an internal password and cannot be decompressed by external utilities. The Load function opens a window displaying all archived files in a designated Backup folder C:\?\?\History\Backups, the user selects a file to be restored and clicks “Open.” Backup files may be restored temporarily to review old data, or permanently to become your current operating database

Purge: The Purge command automatically creates a backup and purges recordings from the selected date range. The date range is selected by clicking on a particular date; all prior recordings will be purged. Purged data will not be lost and will be copied to a file located at a designated folder (i.e. C:\?\? V\History\Closings).

The eData Catcher V System generates Filtered Reports by:

  • Exceptions
  • Missed: Locations
  • Hour: Displays readings made within the selected time frame.
  • Designation: Generates readings by Name (one, several or all).
  • Recorder: Displays readings by Recorder (one, several or all).
  • Messages: Displays 9,999 readings per eData Code Booklet associated with a Message, Incident, Observation, Task Performed, Item, Location and much more
  • Type: Displays readings by Type (one, several or all).
  • Location/Tour Area: Displays all readings made within a Tour Area/facility/field (one, several or all).
  • Personnel: Displays all readings made by a staff member (one, several or all).

DOWNLOAD CRADLE:

A complete download when the memory is full (5,460 readings) will take approximately 3 minutes, and it advises its progress and function status.

EDATA INCIDENT CODE BOOKLET – RECORDS INCIDENTS (MESSAGES):

An incident is an event or condition – generally pertaining to security, safety, maintenance or operational issues – that a person observes while performing a task. The eData Catcher V System allows incidents to be reported by a staff member to management (i.e. gas or water leak, fire hazard, lights on, unlocked door, unlocked window, intruder, etc.). The eData Incident Code Booklet is a 3” x 4”, 1/16” thick, Poly carbonate, impact and shatter-resistant, water proof, flame retardant, ultra violet UV stabilized with transparent thermoplastic injection molding engineering resin, lexan, square folder which contains on one side the incident keypad (12 riveted, attached eData

Chips: 1, 2, 3, 4, 5, 6, 7, 8, 9, 0, C for “CLEAR” and E for “ENTER”). On the other side it has plastic pockets held by two (2) metal rings that allow insertion of paper sheets printed incident codes. An eData Incident Code Booklet system allows defining as many as 9,999 incident messages or as needed messages. Procedures for the eData Incident Code Booklet system is to enter the appropriate incident code by touching the keypad eData Chips with an assigned eData Collector, and the “E” (ENTER) button.

EDATA COLLECTOR V:

A portable electronic device designed to “read” and store eData Chips serial numbers, along with the exact time and date of the reading. The unit downloads the stored readings into any IBM or compatible PC running Microsoft® Windows XP OS and above OS, by means of a Download Cradle. The eData Collector V is a sturdy device capable of withstanding impacts, rough handling, rain, mud, grease, dust and radio interference. The unit is powered by only three (3) “AAA” batteries and does not require electricity. A protective key is provided to avoid unauthorized users from removing two special screws that allow opening the device. When the memory of an eData Collector V is full (5,460 readings), the unit will display 4 red blinks of the LED and emit 4 beeps each time an attempt is made to read; this communicates that the unit is no longer recording. A holster for the eData Collector V is available. Each eData Collector V has a unique never to be changed factory serial number that the eData Catcher V System automatically recognizes and assigns to the Recorders module.

TOUCH-MEMORY EDATA CHIPS:

The eData Chip is a reliable microcircuit, encapsulated in a stainless steel, weather-resistant case of great durability and reliability (1,000,000 readings per eData Chip). Each eData Chip is a guaranteed unique, never-to-be-repeated factory-programmed ROM. Its 16-character serial number is maintained in laser-cut poly-silicon links, not as a stored magnetic charge. Because of its design and the strict control of the manufacturing process, the eData Chip is an identifier that cannot be counterfeited. It is appropriate for applications where absolute identification is required.

The dimensions of the eData Chip are: Height, 5mm; Diameter, 16mm. Each eData Chip’s unique serial number is a universal and physical identifier of each of persons, object, asset, location, checkpoint, task and events, observation, etc. The 16-character serial number is automatically recognized, read by the eData Catcher V software application that allows assigning and naming each eData Chip serial number on the Assignments Folder (Tab) of the eData Catcher V software application.

IDENTIFICATION FOBS WITH EDATA CHIP:

In order to assign duties and evaluate performance the system uses ID Keys for staff and supervisors. The correct usage of the ID Keys will ensure an appropriate and efficient operation of the system. The ID keys are made of nylon and provide a simple way to carry an eData Chip for situations where only momentary contact is needed. The eData Chip snaps in and the ID Key or Badge can be attached to a key ring.

CHECKPOINT MOUNTS:

A Checkpoint is where an eData Chip is securely mounted at a location within a particular Tour/Work Area (office building, warehouse, parking lot, shipping dock, vehicle, asset, etc.) where a personnel’s presence is desired at certain predetermined intervals. Each inspection or checkpoint consists of an eData Chip and its mounting device.

When personnel reads an eData Chip at a Checkpoint with an “assigned” eData Collector, the unique serial number of the eData Chip at the inspection/checkpoint is stored in the eData Collector’s memory, along with the exact time and date of the reading. This data, is downloaded by placing the eData Collector in the eData Download Cradle which uploads the collected data into the eData Catcher V System to sort, correlate and generate customized reports in Excel, PDF and Word formats for immediate viewing, sharing and exporting into legacy systems for other data integration and additional reporting. The Reporting Module produces reports needed to evaluate data such as performance, compliance and other requirements such as for scheduling replacement, repairs, maintenance, etc.

eData Chips Assembly Mount for Checkpoints

(Location, Vehicles, Assets, Equipment, etc.)

The eData Chips multipurpose assembly mounts are made of polycarbonate or metal to be used and mounted at all Checkpoints. This type of mount consists of two transparent plates, one front plate and one back plate. The front plate includes a circular retaining rim to press fit the eData Chips. Both plates include an internal cavity into which a label or photograph may be inserted. The plates can be assembled together and/or to any desired surface with rivets or screws such that all mount contents are securely retained. For wall mounting of eData Chips™ at Checkpoints, the use of 1/8” self-threading screws (provided with mounts) is recommended.
